Quote Validity
All quotations are valid for 2 months from the date of issue. After this period, pricing may be revised and a new quote may be required in line with inflation and any changes to fees.
Scope of Work
Projects are delivered strictly in line with the agreed scope in the proposal or specification. Any additional design or development variations outside of this scope will be quoted and billed separately.
Project Timelines & Client Responsibilities
Trigger Solutions will provide an estimated project timeline before work begins. Timelines depend on the client supplying all required content, information, branding assets, logins, and approvals by the agreed deadlines.
Delays caused by the client may extend the overall project timeline. If delays are substantial, Trigger Solutions reserves the right to:
a) invoice for work completed to date,
b) invoice the full project amount if the site/test site has been delivered, and/or
c) reschedule remaining work to the next available production window.
d) Where delays materially affect project scheduling, resourcing or costs, Trigger Solutions Creative Ltd also reserves the right to invoice the project in full and/or re-quote for the remaining work.
Design & Sign-Off Process
Design stages will be submitted for client review. When the client approves a stage in writing (email is accepted), this is treated as sign-off.
Any changes requested after sign-off will be treated as additional work and billed at the standard hourly rate or a quoted fee.
Content Supply
Unless otherwise stated, the client is responsible for supplying all text, imagery, brand assets, and related content. If Trigger Solutions is required to write or source content, this will be billed separately.
Website Projects – Test Site & Final Invoice
For website builds, the final invoice will be raised upon delivery of the test site for review. This invoice must be paid within 14 days, regardless of whether the client has supplied all final feedback.
Once payment is received, Trigger will complete final adjustments and prepare the site for launch.
Ownership & Intellectual Property
All design work, code, and materials created by Trigger Solutions remain the property of Trigger Solutions until full payment is received.
Upon full payment, ownership of the final approved design and website build is transferred to the client, excluding:
-Third-party software, plugins, or stock assets (which remain under their own licences)
-Proprietary tools or code libraries used by Trigger in development
Chargeable Extras
Chargeable extras include but are not limited to:
-Changes to agreed specifications
-Additional creative concepts or revisions beyond the agreed rounds
-Extra proofs, corrections after sign-off
-Copywriting, photography, advanced image editing
-Stock images, paid plugins or integrations
-Urgent turnaround outside normal working hours
These will always be discussed before work begins.
Payment Terms
Unless otherwise agreed, standard payment terms are:
-50% deposit upfront
-50% on completion (or test site delivery for website projects)
-Invoices are due within 14 days of issue.
Late payments may result in paused work or delayed project delivery.
VAT
Unless otherwise stated, all costs, estimates and quotations provided by Trigger Solutions Creative Ltd exclude VAT, which will be charged at the prevailing rate where applicable.
Hosting & Ongoing Fees
If hosting or maintenance is provided by Trigger Solutions, these are billed annually unless otherwise stated. Failure to renew hosting may result in suspension of the website.
Hourly Rates
Our standard hourly rate is £70 + VAT per hour. All ad-hoc work will be logged and invoiced in minimum increments of 30 minutes.
Monthly Retainer Agreements
If you wish to enter into a retainer agreement with Trigger Solutions Creative Ltd, a written contract will be provided for signing.
Retainers are based on a fixed allocation of hours each month. If workload or requests exceed the agreed monthly hours, we will notify you in writing and request approval before completing any additional work. Additional time will be billed at our standard hourly rate unless otherwise agreed.
Hours cannot be carried over to the following month unless explicitly agreed in advance and confirmed in writing by Trigger Solutions.
To terminate a retainer agreement, clients must provide a minimum of 3 months’ written notice sent to info@triggersolutions.co.uk. Notice periods must be paid in full, regardless of the amount of work requested or completed during this time.
If retainer invoices are not paid on time, Trigger Solutions reserves the right to pause any support or halt further work until payment is received.
By making the first retainer payment, you acknowledge and accept these terms.
Snags / Errors
The client agrees to notify Trigger Solutions Creative Ltd in writing of any defects, errors or issues relating to the work or services provided within 30 days of the final invoice date. After this period, any further snagging, corrections or fixes will be chargeable at our standard hourly rate.
Hosting
Trigger Solutions Creative Ltd offers a web hosting service for websites we have built for our clients. While the standard of our hosting packages is high, we are unable to guarantee 100% uptime (as no hosting provider can), and we do not accept responsibility for any error, omission or misrepresentation in relation to any website hosted, nor for any loss, damage, cost or expense (whether direct, indirect or consequential) suffered by any user of a hosted website.
Trigger Solutions Creative Ltd makes no warranties or representations that hosting will be uninterrupted, error-free, or that the website or server is free from viruses or harmful code. In no event shall Trigger Solutions Creative Ltd, its employees or agents be liable for any direct, indirect or consequential damages resulting from the hosting of websites on our servers.
Client Conduct & Working Relationship
Trigger Solutions Creative Ltd operates a respectful, collaborative working environment. We expect all communication to be professional and courteous.
We reserve the right to terminate a project or working relationship immediately if:
-A client engages in abusive, threatening, or inappropriate behaviour.
-Communication repeatedly falls outside acceptable professional standards.
-The working relationship breaks down to a point where successful delivery is not possible.
In such cases, any work completed up to the termination date will be invoiced in full and payable immediately.
Business Hours & Communication
Our standard business hours are Monday to Friday, 9:00am–5:00pm (UK time).
Work requests, feedback, and communication received outside these hours will be handled on the next working day.
We do not generally provide out-of-hours support. If emergency assistance is explicitly requested and agreed by the team outside business hours, this will be billed at double our standard hourly rate (£140 + VAT per hour) with a minimum charge of 1 hour.
Examples of what qualifies as an “emergency” will be defined at our discretion (e.g., a critical website outage).
Email & Communication Expectations
To ensure efficient delivery:
-All feedback, content, and requests must be provided in writing (email or shared document).
-Verbal feedback must be summarised in writing by the client to avoid misinterpretation.
-Consolidated feedback is essential – scattered or conflicting revisions may incur additional charges.
Printing & Production
For print projects, clients must check final artwork PDFs before production. Trigger Solutions is not responsible for errors in signed-off artwork.
Liability
Trigger Solutions will not be liable for:
-Loss of data, revenue, or business arising from website downtime
-Issues caused by third-party providers (hosting, plugins, email, APIs)
-Client errors, unauthorised edits, or misuse after handover
Rights to Use Work for Promotion
Trigger Solutions reserves the right to display completed work in portfolios, case studies, promotional materials and on social media channels unless otherwise agreed.
Termination
If a project is terminated by the client, Trigger Solutions will invoice for all work completed up to the termination date.
Confidentiality
Trigger Solutions Creative Ltd agrees that it will not at any time, either directly or indirectly, use for its own benefit, or disclose to any third party, any confidential or proprietary information belonging to the client. We will take reasonable steps to protect such information and will treat all client information as strictly confidential, unless disclosure is required by law.
Privacy

Governing Law
These Terms & Conditions are governed by and interpreted in accordance with the laws of England and Wales.
Acceptance of Terms
By approving a proposal, instructing us to proceed with a project, or making any payment to Trigger Solutions Creative Ltd, you are confirming that you have read, understood, and agreed to these Terms & Conditions in full. These Terms & Conditions form the basis of all contracts between Trigger Solutions Creative Ltd and the client, unless otherwise agreed in writing.
Statutory Rights & Updates to Terms
These Terms & Conditions supersede any previous versions and apply to all present and future projects unless otherwise agreed in writing. Trigger Solutions Creative Ltd reserves the right to amend or update these Terms & Conditions at any time. By agreeing to these Terms, your statutory rights are not affected.
